When you use Remarkable Minds, we collect information you provide directly: your name, email address, and any details you share when registering interest or creating a profile. We also collect technical and usage data, including your IP address, analytics identifiers, and the date and time of your activity, to improve the platform and keep it secure.
We use your information to provide and improve our service, connect parents with specialists, process payments, and send you relevant updates about Remarkable Minds. We will never sell your data to third parties.
Your data is stored securely using industry-standard encryption. We use trusted third-party services for hosting and payment processing, all of which comply with UK data protection regulations.
Under UK GDPR, you have the right to access, correct, or delete your personal data at any time. You can also request a copy of the data we hold about you. Contact us to exercise any of these rights.
Our workforce neurodiversity survey is confidential, not anonymous. When you take part we collect the answers you give, the employer you choose to name (optional), and technical information: your IP address, an analytics identifier, and the date and time you submitted. We use this to produce aggregated research, to understand how the survey is used, and to detect duplicate or fraudulent submissions. Our lawful basis is our legitimate interest in workforce research.
We never ask for your name, and we do not share individual responses with your employer. Employer-level findings are only reported where enough people have responded; small groups are combined or excluded to protect confidentiality. If you enter the optional prize draw, your email is collected with your consent, stored separately, and never linked to your survey answers. We keep survey data only for as long as we need it for this research.
If you apply to take work through Remarkable Minds, we collect the documents we need to vet you: photo identity, proof of your right to work in the UK, a CV or LinkedIn profile, your DBS, PVG or AccessNI certificate, and proof of your professional indemnity and public liability insurance. We also record which agreements you accepted, at which version, and on what date.
Information about a DBS, PVG or AccessNI check is criminal-offence data. We process it only to decide whether you are suitable to work with children through us, under the safeguarding condition in Schedule 1 of the Data Protection Act 2018. We record the certificate number, level, workforce and issue date, together with who verified it and when, and we do not keep a scan of the certificate: any copy you upload is deleted once the check is verified.
Documents are held in a private, encrypted store in the UK or the European Economic Area. Access is limited to the person carrying out the check and our Designated Safeguarding Lead, and every access is logged. Documents are deleted within six months of you leaving the network; the audit record of the checks is kept for at least a year after your last introduction ends so we can evidence that a proper check was made. Online video sessions delivered on our platform are recorded for safeguarding, quality and dispute resolution. In-home tutoring sessions are never recorded, and nobody may make their own recording of a session. Recordings are encrypted, kept for 90 days and then deleted automatically, unless a safeguarding concern, complaint or legal claim means we have to preserve one.
